What an event headshot booth is

Volkan Photography brings a complete studio headshot booth into your event: a conference, trade show, career fair, AGM, association meeting or staff day, anywhere in Vancouver, Metro Vancouver and the Fraser Valley. One photographer gets through about 30 people per hour at two minutes each, and talks every person through the session, so nobody has to work out what to do with their hands.

Attendees see their frames on a screen beside the camera, pick their favourite, and get the file instantly. Nobody waits until the following week for a gallery. Retouching, extra photographers for higher volume and an on-site hair and makeup prep station can all be added.

What two minutes at the booth looks like

No appointments, no forms to fill in first. Attendees walk up, and the queue keeps moving at roughly 30 people an hour.

Why headshot booths work at events

Swag gets thrown away. A good headshot gets used for years on LinkedIn, company sites and conference bios, and attendees remember who gave it to them.

Constant traffic

A visible booth with studio lighting draws a line all day, which is why it works so well as a sponsor activation or an exhibitor draw.

Real attendee value

A guided two-minute session, proper lighting, and a file people can actually use. Not a photo booth with a prop box.

Sponsor branding

Delivery pages and the booth itself can carry the sponsor's branding, and it is one of the few touchpoints attendees actually open.

What the booth looks like on your floor

A proper studio, not a corner with a ring light: a large softbox, a clean backdrop, and a tethered screen so attendees see their frames before they leave. It fits a 3 × 4 metre space, runs off one outlet, and is ready 45 minutes after load-in.

How many people can you photograph?

One photographer handles about 30 people an hour. When demand runs higher than that, whether it is a big conference, a short lunch window or a 1,000-person expo, I bring a team of photographers and run parallel stations.

Add-ons

The booth stands on its own. These are the things organizers most often add on top, each quoted with your event.

Retouching, even instant

Every headshot professionally retouched, $150 per hour. It can be done live at the booth so the retouched file is what the attendee walks away with, or delivered after the event.

Hair & makeup prep station

A mirror and lighting station beside the booth for a last-minute check, plus a hair and makeup artist on site if you want one.

A team of photographers

Extra photographers and parallel stations for high-demand events, so a 600-person conference still gets through in a day.

Sponsor branding & lead capture

Sponsor signage at the booth, branded delivery pages, and the contact list handed to the host or sponsor wherever attendees have clearly opted in.

Four flat prices by duration, so the queue can slow down or surge without the meter running. Every booking includes the mobile studio, setup and breakdown, with hourly coverage on top, which is why two hours is not half the price of four.

Capacities are planning guidance based on up to 30 people an hour with one photographer, not a cap: nobody is turned away and there is no per-person overage charge. Prices in CAD, before GST.

RETOUCHING ADD-ON

Professional retouching, done live at the booth so the retouched frame is the file the attendee walks away with. Base delivery is unretouched.

GOOD TO KNOW
Weddings and private celebrations want the reception photo booth instead: same rig, keepsake prints handed over on the night.
Multi-day conferences get a package rate, and the booth stays up overnight where the venue allows
Extra photographers and parallel stations are quoted with your event, at about 30 more people an hour each

Event headshot booth questions

How much does an event headshot booth cost in Vancouver?

Flat prices by duration: $1,400 for two hours, $2,000 for four, $2,600 for six and $3,200 for eight, in CAD. Every booking includes the mobile studio, setup and breakdown, with hourly coverage on top, which is why two hours is not half the price of four. Retouching is $150 per hour, and extra photographers or a hair and makeup station are quoted with your event.

How many people can you photograph in an hour?

About 30 people per hour per photographer, at two minutes each, so roughly 120 in a half day and 240 in a full day. For higher demand I bring a team of photographers and run parallel stations.

When do attendees get their headshots?

Instantly, at the booth. They choose their frame on the tethered screen and the file is delivered on the spot. There is no gallery to wait for later in the week.

Can the headshots be retouched?

Yes, as an add-on. It can be done instantly on site, so the retouched version is the file the attendee leaves with, or it can be delivered after the event.

Can you bring hair and makeup?

Yes. A prep station with a mirror and good light can sit beside the booth, and a hair and makeup artist can be added to help attendees before they step in front of the camera.

What space and power do you need?

A 3 × 4 metre footprint, which is exactly what a standard 10 × 10 exhibitor booth gives you, one standard power outlet, and 45 minutes before doors open.

Do you cover events in downtown Vancouver?

Yes. Convention centres, hotel ballrooms and offices in downtown Vancouver, plus Burnaby, Richmond, Surrey, the North Shore, Langley and the rest of the Lower Mainland and Fraser Valley.

Can the booth carry our sponsor's branding?

Yes. The booth can incorporate sponsor signage and delivery pages can be branded. With clear attendee opt-in, the host or sponsor also receives the contact list.
