A good photo day should cost a director almost nothing in time or stress. This is the working checklist refined with centres across Langley, Surrey and the Fraser Valley: everything your side actually needs to do, and the much longer list of things you don't.
Three to four weeks out
- Pick the date. Avoid field trips, theme weeks, and transition weeks when new children are settling in.
- Send consent forms. A ready-to-use template is provided, you just forward it.
- Flag special cases. Children who may need extra time, a parent present, or a specific time of day. A quick note now shapes the schedule later.
One week out
- Remind parents, with simple clothing guidance: solid colours beat characters. (Share the parent guide; it covers clothes, hair, and why smiles should never be rehearsed.)
- Check the class list for correct name spellings, since galleries are sorted and delivered by name.
- Sketch the flow around your routine. Naps and snack times win; the schedule bends around them, with the youngest room usually first in the morning.
The day before
- Clear a corner: about 3×3 metres near a power outlet is plenty. Natural light is nice but not required; lighting comes with the kit.
- Confirm arrival time. Setup takes about 40 minutes before the first child sits down.
- Post a note at the door so parents at drop-off know it's photo day.
On photo day
- Assign one helper. A staff member who brings children over in twos and threes. That's the entire staffing requirement.
- Keep the routine normal. Circle time, snack, outside play. Photos work around your day, not the other way round.
- Schedule shy children mid-session: never first, never tired-last. (More on this in making photo day easier for shy and neurodivergent children.)
- Sibling pairs happen at drop-off or pickup so both children are actually in the building.
What's not on your list
Styling, posing, coaxing smiles, order forms, cash envelopes, chasing retakes. Galleries go directly to parents, ordering is online, and retakes are handled quietly during the same visit wherever possible. Your staff's job on photo day is the same as any other day: run the centre.
The takeaway: Book the date, forward the forms, clear a corner, assign a helper. That’s the whole job. Everything else is what you’re hiring a photographer to carry.
